We are seeking a proactive and detail-oriented Remote Executive Assistant to support our executive team and clients. The ideal candidate will be skilled in multitasking, effective communication, and time management, with a strong ability to work independently. Key Responsibilities:
- Manage and coordinate complex personal and team calendars, scheduling meetings across multiple time zones.
- Schedule and organize virtual and in-person meetings, preparing agendas and ensuring seamless communication.
- Conduct research, gather data, and compile reports to support executive decision-making.
- Receive and handle incoming calls, take detailed notes, and route them as needed.
- Manage email inboxes, responding to emails, following up on key messages, and forwarding urgent communications.
- Order office supplies, equipment, or other necessary items for the team and maintain inventory.
- Input, update, and maintain CRM records and customer information, ensuring data accuracy.
- Create and send invoices, track expenses, and manage payment records.
- Perform basic accounting tasks, including tracking expenses and managing bookkeeping activities.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Assist with ongoing projects by tracking progress, maintaining timelines, and ensuring deliverables are met.
- Handle confidential information with discretion and professionalism.
Requirements:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Tech-savvy, with proficiency in MS Office, Google Suite, CRM software, and project management tools (e.g., Asana, Trello).
- Ability to work independently in a remote setting while being self-motivated and results-oriented.
- High attention to detail and problem-solving skills.
- Discretion and confidentiality in handling sensitive information.
- Flexibility to adjust to shifting priorities and schedules.
- Prior experience in supporting C-level executives is a plus.
