We are seeking a proactive and detail-oriented Remote Executive Assistant to support our executive team and clients. The ideal candidate will be skilled in multitasking, effective communication, and time management, with a strong ability to work independently. If youre organized, tech-savvy, and enjoy handling various administrative tasks, this role is for you!

Key Responsibilities:

  • Manage and coordinate complex personal and team calendars, scheduling meetings across multiple time zones.
  • Schedule and organize virtual and in-person meetings, preparing agendas and ensuring seamless communication.
  • Conduct research, gather data, and compile reports to support executive decision-making.
  • Receive and handle incoming calls, take detailed notes, and route them as needed.
  • Manage email inboxes, responding to emails, following up on key messages, and forwarding urgent communications.
  • Order office supplies, equipment, or other necessary items for the team and maintain inventory.
  • Input, update, and maintain CRM records and customer information, ensuring data accuracy.
  • Create and send invoices, track expenses, and manage payment records.
  • Perform basic accounting tasks, including tracking expenses and managing bookkeeping activities.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Assist with ongoing projects by tracking progress, maintaining timelines, and ensuring deliverables are met.
  • Handle confidential information with discretion and professionalism.

Requirements: 

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Excellent communication skills, both written and verbal.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Tech-savvy, with proficiency in MS Office, Google Suite, CRM software, and project management tools (e.g., Asana, Trello).
  • Ability to work independently in a remote setting while being self-motivated and results-oriented.
  • High attention to detail and problem-solving skills.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility to adjust to shifting priorities and schedules.
  • Prior experience in supporting C-level executives is a plus.
